User Isolation controls whether users in the same group can automatically see campaigns, audiences, and images created by one another.
When User Isolation is disabled, users can see assets created by other users in their current group, subject to their assigned permissions.
When User Isolation is enabled, users normally see only:
- Assets they created.
- Assets shared directly with them.
- Assets shared with their current group.
User Isolation applies to both existing and newly created assets.
Assets Covered by User Isolation
User Isolation and sharing apply to:
- Campaigns
- Audiences
- Images
Shared campaigns may also appear in the Campaign Calendar. Shared audiences and images become available in the areas where those assets can normally be selected or used.
User Isolation does not move or copy an asset. The original creator remains its owner.
Enabling User Isolation
User Isolation must be available for your organization. If the setting is not displayed, contact your administrator or SmarterSends support.
Account owners can configure User Isolation:
- Open Settings.
- Select Restriction Settings.
- Locate User Isolation.
- Enable the User Isolation setting.
After the setting is enabled, users will no longer automatically see assets created by other members of their group. Asset owners can then share selected items with the group or individual users.
Using Different Settings by Group
Account owners can enable Group Level Override to control User Isolation separately for each group.
To enable group-specific settings:
- Open Restriction Settings.
- Enable Group Level Override.
- Open the group you want to configure.
- Locate User Isolation Settings.
- Enable or disable User Isolation within that group.
When group-level overrides are enabled, one group can use isolated assets while another group continues sharing all assets among its users.
Disabling Group Level Override removes the individual group settings and returns all groups to the organization-wide User Isolation setting.
Bypassing User Isolation
Administrators can grant selected users the Bypass User Isolation permission.
A user with this permission can see assets created by other users in the current group without requiring each asset to be shared individually.
Bypassing isolation does not transfer ownership of an asset. Only the asset’s creator can manage its sharing settings.
Sharing an Individual Asset With the Group
To share a campaign, audience, or image with everyone in your current group:
- Open the appropriate Campaigns, Audiences, or Images page.
- Locate an asset you created.
- Open its Actions menu.
- Select Share with Group.
The asset becomes visible to other users in the current group, subject to their permissions.
You can only share assets you own. Sharing options are not displayed for assets created by someone else.
Sharing an Individual Asset With a User
To share an asset with a specific user:
- Open the asset’s Actions menu.
- Select Share with User.
- Search for the user by name or email address.
- Select the user from the results.
The user can then see the asset while working in the applicable group.
Direct sharing is intended for members of the current group. If a user is not available in the search results, confirm that they belong to the group.
Sharing Multiple Assets With the Group
Campaigns, audiences, and images can be shared with the group in bulk.
- Open the appropriate asset list.
- Select the checkboxes beside the assets you want to share.
- Open Bulk Actions.
- Select Share with Group.
Bulk sharing applies only to selected assets that you own. Assets owned by another user are ignored.
Assets cannot be shared directly with an individual user through Bulk Actions. Use each asset’s Actions menu for direct user sharing.
Stopping Group Sharing
To stop sharing an individual asset with the group:
- Open the asset’s Actions menu.
- Select Stop Sharing with Group.
To stop sharing multiple assets:
- Select the assets you own.
- Open Bulk Actions.
- Select Stop Sharing with Group.
After group sharing is removed, other group members will no longer see the asset unless:
- It was also shared directly with them.
- They have the Bypass User Isolation permission.
- They are the asset’s owner.
Stopping Sharing With an Individual User
To remove a direct user share:
- Open the asset’s Actions menu.
- Open Share with User.
- Locate the user in the list of users with whom the asset is currently shared.
- Select the user to remove their access.
Removing a direct share does not hide the asset from that user if it is also shared with the entire group or the user has permission to bypass isolation.
Working With Shared Assets
A shared asset is still owned by its original creator. Other users can see and use the asset according to their assigned permissions, but they cannot:
- Change its sharing settings.
- Share it with additional users.
- Stop sharing it with the group.
- Delete it while User Isolation is active.
Available actions may differ by asset type and by the recipient’s permissions. For example, a user may be able to review or duplicate a shared campaign without being able to delete the original.
Switching Groups
User Isolation and sharing are evaluated using your currently selected group.
When you switch groups:
- You see assets you own in the newly selected group.
- You see assets shared directly with you in that group.
- You see assets shared with that group.
- Assets belonging to another group are not included.
If a Shared Asset Is Missing
If you cannot find an expected asset:
- Confirm that you are working in the correct group.
- Confirm that the asset owner selected Share with Group or shared it directly with you.
- Check the current folder and search filters.
- Confirm that you have permission to access that type of asset.
- Ask an administrator whether User Isolation is enabled for the group.
