Exporting Campaign Recipient Data
Campaign Recipient Data Export provides recipient-level delivery and engagement information for a sent campaign. The export is generated by your connected messaging platform and prepared in the background.
Availability
Recipient data export is available when:
- The campaign has been sent.
- Campaign reporting data is available.
- Your connected messaging platform supports recipient-level exports.
- You have the Export Recipients permission.
- You have access to the campaign’s group.
If Export Recipient Data is not displayed, contact your administrator to confirm your permissions and integration capabilities.
Starting an Export
- Open Campaigns.
- Locate the sent campaign.
- Select the statistics icon beside the campaign.
- Wait for the campaign statistics to load if necessary.
- Select Export Recipient Data.
SmarterSends displays a message confirming that the export is being prepared. You can close this message and continue using the platform.
The time required depends on the campaign’s size and the connected messaging platform.
Downloading the Completed Export
When the export is ready, SmarterSends sends you an in-app notification titled Export Ready.
To download the file:
- Open your SmarterSends notifications.
- Locate the Export Ready notification for the campaign.
- Select Download.
- Save the file to your device.
You may need to switch to the group containing the campaign before downloading the file.
Export File Formats
The file format depends on your connected messaging platform. The export may be:
- A CSV file containing recipient activity.
- A ZIP file containing one or more CSV files organized by event type.
The downloaded filename includes the campaign name and its SmarterSends campaign ID.
Information Included in the Export
Export contents vary by messaging platform but may include:
- Recipient email address or subscriber identifier
- Event or action type
- Event date and time
- Send or batch identifier
- Link URL for click events
- Bounce category and type
- SMTP response information
- Unsubscribe information
- Suppression or not-sent information
- Complaint information
- Additional recipient properties
A ZIP export may contain separate files for events such as:
- Sent
- Open
- Click
- Bounce
- Unsubscribe
- Not Sent
Only data supplied by the connected messaging platform is included. Some platforms provide more fields or event types than others.
Understanding Export Rows
The export contains activity records, not necessarily one row per recipient.
A recipient can have multiple rows when they performed multiple actions. For example, the same recipient may have:
- One sent event
- Multiple open events
- Multiple click events
- An unsubscribe event
Because of this, the number of rows in the export may be greater than the number of recipients shown in the campaign summary.
Aggregate Statistics Versus Recipient Data
The statistics panel shows aggregate totals, such as total sends, opens, clicks, and bounces.
The Recipient Data Export provides the underlying recipient-level events available from the messaging platform. Differences can occur because:
- A recipient generated multiple events.
- Statistics distinguish between total and unique activity.
- The connected platform updated its reporting after the export was requested.
- Some events or recipient details are subject to platform retention rules.
- Privacy or platform settings limit the data returned.
Re-Exporting Recipient Data
Recipient export files are temporary. If the file is no longer available, SmarterSends displays a message asking you to export the campaign again.
To regenerate it:
- Return to Campaigns.
- Open the campaign’s statistics.
- Select Export Recipient Data.
- Wait for a new Export Ready notification.
- Download and save the new file.
After beginning a download, save the file promptly. The temporary server copy is scheduled for removal.
Troubleshooting
The statistics icon is missing
Confirm that the campaign has a Sent status and that reporting data is available from the connected platform.
Export Recipient Data is missing
Confirm that your integration supports recipient exports and that you have the Export Recipients permission.
The export is taking a long time
Large campaigns can require additional processing time. Avoid submitting repeated exports while the first request is still processing.
The notification does not appear
Refresh your notifications and confirm that you are signed in as the user who requested the export.
The file is no longer available
Return to the campaign and create a new export.
The export does not contain an expected field
Available columns and events are controlled by the connected messaging platform. Not every integration returns the same recipient details.
