Using Usage Reports

The Usage Reports dashboard provides an overview of activity across your company, including campaigns, recipients, user logins, groups, templates, OpenAI usage, and two-way conversations.

Accessing Usage Reports

1. Select Usage Reports from the main navigation.
2. Choose a start date and end date.
3. The dashboard updates to include activity within the selected date range.

Usage Reports are available only to users who have the Usage Reports permission. Most reports include activity from all groups, regardless of your currently selected group.

Dashboard Summary

The summary cards at the top of the dashboard show:

• Campaigns Sent: Campaigns sent during the selected period.
• Recipients: The number of recipients to whom campaigns were successfully sent.
• Campaigns Pending: Pending campaigns with send dates in the selected period.
• Campaigns Scheduled: Scheduled campaigns with send dates in the selected period.
• User Logins: The number of distinct users who logged in.
• Groups Created: Groups created during the selected period.
• Templates Created: Templates created during the selected period.
• OpenAI Requests: Requests made to OpenAI during the selected period.

If two-way messaging is enabled, the dashboard also shows:

• Conversations: Conversations created during the selected period.
• Active Conversations: Conversations that are not closed or marked as spam.
• Awaiting Reply: Conversations waiting for a response.
• At Risk: Conversations requiring attention.

Select a summary card to open the related detailed report.

Dashboard Charts

The dashboard contains the following activity charts:

User Login Activity

Shows the number of login events recorded each day. A user who logs in more than once may appear multiple times in this chart.

Campaign Activity

Compares the number of campaigns created and sent each day.

Recipient Activity

Shows the number of recipients successfully sent campaigns each day.

OpenAI Activity

Shows the number of OpenAI requests and tokens used each day.

Login Activity Report

The Login Activity report shows user login information.

Use the Activity Type filter to view:

• Logged In: Users who logged in during the selected period.
• Has Not Logged In: Users who did not log in during the selected period.

The report includes:

• User name
• Email address
• Account creation date
• Last login date

Select a user’s name to open their user record.

User and Campaign Activity Report

The User Activity report shows campaign-related actions by user.

Use the Activity Type filter to view users who:

• Sent a campaign
• Created a campaign
• Sent a test campaign
• Exported campaign data

Depending on the selected activity, the report includes:

• User name
• Email address
• Number of activities
• Number of recipients
• Date of the most recent activity

Recipient Reporting

Recipient activity is included throughout the dashboard rather than in a separate report.

• The Recipients summary card shows the total number of successful campaign sends.
• The Recipient Activity chart shows recipient totals by day.
• Selecting the Recipients card opens User Activity with campaigns sent and recipient totals grouped by user.

Recipient totals represent successful sends reported for campaigns, not estimated audience sizes.

Group Activity Report

The Groups report shows campaign activity by group.

Use the Activity Type filter to view:

• Campaigns sent
• Campaigns created

The report includes:

• Group name
• Number of users in the group
• Number of campaigns sent or created
• Number of recipients, when viewing sent campaigns
• Date of the most recent activity

Select a group name to open its settings.

Template Activity Report

The Templates report shows how templates were used during the selected period.

Use the filter to view:

• Published templates
• Unpublished templates

The report includes:

• Template name
• Publication status
• Number of campaigns created from the template
• Date of the most recent activity

Campaign Status Report

The Campaign Status report lists campaigns awaiting completion or scheduled for delivery.

Use the filter to view:

• Pending campaigns
• Scheduled campaigns

The report includes:

• Campaign name
• Status
• Send date

Select a campaign name to open its review page.

OpenAI Activity Report

The OpenAI report shows usage by users who made OpenAI requests during the selected period.

The report includes:

• User name
• Number of requests
• Number of tokens used
• Date of the most recent activity

Conversation Activity Report

The Conversation Activity report is available when two-way messaging is enabled.

Use the Group filter to review company-wide activity or narrow the summary to a specific group.

The report includes:

• Total conversations
• Active conversations
• Conversations awaiting a reply
• Conversations containing unread messages
• At-risk conversations
• Stale conversations
• Reminders
• Escalations
• Average first-response time
• Average messages per conversation
• Average sent and received messages

The By Group table compares conversation activity across groups.

Working With Detailed Reports

Detailed reports can be sorted by selecting a column heading. Use the pagination controls to move through reports containing multiple pages.

Select Back from a detailed report to return to the main Usage Reports dashboard.

Downloading Reports

Select Download from a detailed report to export its results as a CSV file.

The exported file:

• Uses the selected date range.
• Applies the current report filter.
• Includes all matching rows, not only the rows displayed on the current page.
• Uses your configured timezone for applicable dates.

Dates and Timezones

Usage Reports initially display activity from the previous 30 days. You can change the start and end dates at any time.

The selected dates include the full start and end days and are interpreted using your configured timezone.

Data Freshness

Usage data may take several minutes to appear. Recently completed actions can be delayed while campaign statistics and connected-platform data are processed.
